Position Overview:

The Administrative and Finance Manager will be working directly with the leadership team of Wy’East Resource Conservation & Development Council (Wy’East). Wy’East is a 501(c)3 non-profit organization, established in 1994.  The Administrative and Finance Manager position is responsible for completing the day-to-day financial operations within the company and providing administrative support for the organization.

Wy’East currently has a number of fee-for-service contracts and grants from local, state, & federal Agencies; this position will assist management with the contract management responsibilities for the organization.  This position will also perform payroll duties for Wy’East Staff, and calculate and issue payment for payroll liabilities.    

Wy’East contracts typically focus on rural energy projects and work closely with electric utilities, rural small business & agricultural producers, vendors, trade allies, and program delivery partners to support the development of cost-effective energy projects. This work will require frequent collaboration with federal, tribal, state, and local government agencies as well as other relevant NGOs across the region.

Essential Duties:

Financial tasks and duties-

  • Using QuickBooks and Excel, record financial transactions, manage data entry, general bookkeeping duties, invoicing, accounts receivable and accounts payable, prepare, track, and reconcile ledgers & budgets

  • Prepare and submit bi-weekly payroll

  • Gathering and preparing data to create monthly and quarterly invoices & reports

  • Prepare and file monthly & quarterly company tax documents

  • Stay current with all regulations, requirements, and laws related to financial duties

  • Correspond with banking institutions and accountants as necessary

  • Prepare monthly reporting and financial planning for the Executive Director and the leadership team

  • Present financial updates to the Wy’East Council on a quarterly basis

  • Financial budgeting and forecasting

Administrative tasks-

  • Using both Microsoft Office & Google Workspace to type correspondence, reports, spreadsheets, and database management

  • Records management to include labeling, filing, archiving, making copies, document assembly, and document retrieval

  • Customer support; answering phones and general customer assistance

  • Booking company travel

  • Event planning & organization (minimal)

  • Routinely update website and social media

  • Project Management – Using Asana project management system to track financial and general projects

Support to Wy’East Council-

  • Scheduling and organization of quarterly council meetings

  • Confirm attendance and assist with communication with the council members

  • Draft agenda for quarterly council meetings, and work with the Executive Director to finalize agenda

  • Meeting minutes and follow-up from council meetings, such as actions and requests

  • Provide assistance to the Executive Director as needed

  • Contract review and management

  • Grant and proposal development

Required Qualifications:

  • Fluent in QuickBooks Desktop Services for all financial duties

  • Fluent in Microsoft 365 Suite, including Excel, Microsoft Word, Publisher, PowerPoint, and Microsoft Teams. Able to operate web-based platforms such as Zoom, Google Suite, and Canva. Willing and able to learn new platforms as the work requires.

  • Knowledge and skill in verbal and written communications, as well as highly developed interpersonal skills to relate Wy’East objectives to individuals, groups/organizations, private corporations, governmental bodies, and program partners

  • Ability to obtain or learn general knowledge of Wy’East programs and services and be able to explain those programs and services both orally and in writing

Ideal Qualifications:

  • Experience working with non-profit, special district-type organizations in which the business structure includes a board of directors or council

  • Project Management and/or grant writing experience in the context of state & federally funded programs

Compensation and Benefits:

The hourly wage range for this position is $30 to $35 per hour depending on experience. No benefits are offered with this position, in lieu of benefits this hourly wage rate includes a 10% pay differential.
